The iPhone 4 email app is compatible with iCloud, Microsoft Exchange, Gmail, Yahoo, and many of the most popular Internet-based email, contacts, and calendar service providers. This article will show you how to set-up and use email with the iPhone 4.
STEPS
METHOD 1 OF 4: ADDING ACCOUNTS

ADD AND EMAIL ACCOUNT. Open the Settings app on your iPhone. Tap “Mail, Contacts, Calendars”. Under Accounts, tap “Add Account…” You can add more than one email account to your iPhone.

CHOOSE YOUR EMAIL PROVIDER FROM THE LIST. The iPhone has preconfigured settings for most major mail services. You can add descriptions for each of your accounts.
For iCloud, you will need to enter your Apple ID and password. You can turn on the Find My iPhone feature from this screen as well. If you don’t have an iCloud account, you can create one from this screen.

For Gmail, you will need your Google account and password. There is a Gmail app available for free download from the App Store that provides an alternative to the Mail interface for Google users.

For AOL and Yahoo mail, you will need their respective email addresses and passwords.

To set up a Microsoft Exchange account, you will need your Exchange login info, Your company’s system admin should be able to provide you with this information.

To set up an unlisted account, select “Other” from the Add Account… screen. Tap “Add Mail Account, and then enter the name, email address, password, and description. On the next screen, enter your email service’s host name, and then your email address and password under Incoming Mail Server. Enter the same settings under Outgoing Mail Server, or you will not be able to send emails.

WAIT FOR YOUR MAIL TO SYNC. Depending on how many accounts you are adding and how many messages need to load, this could take several minutes.
METHOD 2 OF 4: CHECKING YOUR EMAIL

OPEN YOUR MAIL APP. The Mail icon on the Home screen will show you the number of unread messages you have in your inbox. The Mail app is usually located on the dock so it can be accessed from any Home screen.

OPEN THE INBOX. When you start the app, a list of your mailboxes will appear. You can view all of your accounts at once by tapping “All Inboxes”. You can open individual inboxes by tapping the associated link. To return to this screen, tap the name of the inbox you are browsing in the top-left corner.
If you want to check folders besides the inbox, such as spam or the trash, select the account from under the Accounts heading. This will list all of the folders for that mail account.

Tap the inbox you want to check. A list of emails will appear. To access an email, tap it and it will open.

ENLARGE THE EMAIL. The open email text may appear small to you. Enlarge it by touching the screen with two fingers and spreading them apart. To scroll about the screen, slide your finger in the direction you want to go. To resize a column of text to fit the screen, double-tap the text.

SCROLL THROUGH YOUR EMAILS. Tap the up and down arrows on the top right of the message screen to view the next or previous email in your inbox. To go back to your inbox, tap the “Inbox” arrow at the top left of the screen.

ADD THE EMAIL SENDER OR RECIPIENT TO YOUR CONTACT LIST. To do so, first tap the message and, if necessary, tap “Details” to see the recipients/senders. Then tap the desired name or email address. On the new screen, tap “Create New Contact” or “Add to Existing Contact.”

REPLY TO AN EMAIL. To reply, click the arrow pointing left on the bottom menu, and select Reply. Your onscreen keyboard will appear and you can start editing your email. You can add recipients by clicking in the “To:” field and clicking the blue plus sign. When you are finished, tap the blue Send button to send your reply.
METHOD 3 OF 4: COMPOSE AND SEND EMAIL

TAP THE COMPOSE BUTTON. The icon is a pencil writing on paper, located in the bottom menu on the right side. The New Message screen will appear, and the cursor will be in the To: field.

ADD A RECIPIENT. Type a name or email address into the To: field. If you type a person’s name, the iPhone will attempt to match a contact that you have stored. Alternatively, you can tap the blue plus sign to browse your contact list.
If you’re composing a message from your Microsoft Exchange account and have access to your enterprise Global Address List (GAL), matching addresses from the contacts on iPhone appear first, followed by matching GAL addresses.'

SELECT COPIES AND BLIND COPIES. Tap “Cc/Bcc/From” if you want to copy or blind copy the message to others, or change the account you send the message from. If you have more than one email account you can tap the “From” field to change the account you want the email to be sent from.

ENTER A SUBJECT, THEN YOUR MESSAGE. You can tap “Return” to move from one field to another. When you are finished, tap the blue Send button in the top-right.
METHOD 4 OF 4: VIEWING AND SENDING ATTACHMENTS

OPEN AN ATTACHED FILE. The iPhone supports a large variety of file types, including images, videos, documents, music files, PDFs, and more. To view an attached file, tap the attachment to open it in Quick Look.
You may need to download the attachment first by tapping the down arrow button if it appears at the end of the message in a dotted box with the document name.

ATTACH A FILE TO AN EMAIL. In order to attach a file to an email, you have to open that file in its App first. For example, in order to attach a photo, you need to open the photo in the Photos app. Then, click the Actions button, which is a box with an arrow coming out of it. From there, select Mail. The Mail app will open, and a new mail will be created with the photo attached. You can then adjust the recipient and the account you want to send it from.
You can perform this action in most apps that handle documents. In Pages, click the wrench icon, then select Share and Print. Select mail, and then the file format you want the document converted to.
